Inbox Triage & Email Automation

An inbox that sorts itself.

A shared inbox with a few hundred messages a day doesn't fail loudly. It fails quietly: the urgent request buried under newsletters, the customer who follows up twice before anyone notices, the hour every morning your best people spend just deciding what to read.

Zeitwerk builds email triage systems for Toronto and GTA teams that classify every incoming message, surface what's urgent, route each item to the right owner and draft replies for review — so the inbox becomes a queue of decisions instead of a wall of unread mail.

Serving Toronto, Vaughan, Mississauga, Brampton, Markham, Richmond Hill and the rest of the GTA — on-site or remote.

How high-volume inboxes fail

  • Urgent messages sit unseen behind routine ones for hours.
  • Nobody is sure who owns a message, so either everyone answers or no one does.
  • Your most experienced people spend their mornings sorting, not solving.
  • The same questions get hand-typed answers dozens of times a week.
  • Follow-ups slip because nothing tracks what's still waiting on a reply.

If any of this sounds like your operation, it's not a staffing problem — it's a workflow that was never designed to scale. That's what we fix.

How it works

Every engagement follows the same disciplined path: understand the workflow first, then engineer the automation around it — never the other way around.

01

Learn your mail

We analyze the kinds of messages you actually receive and define the categories, priorities and owners that fit how your team really works.

02

Classify & route

Every incoming message is categorized, prioritized and assigned automatically — urgent items are flagged the moment they land.

03

Draft the replies

For routine messages, the system drafts a response in your voice, ready for a human to approve, edit or send. Fully automatic replies are enabled only where you choose.

04

Track & improve

Nothing closes until it's actually handled. We monitor the misses and keep tuning the classification, so accuracy improves with use.

Built for inboxes that never stop

  • Property management offices buried in tenant email
  • Customer service and support desks without a full ticketing system
  • Operations teams running the business from a shared mailbox
  • Executives who need a inbox brief, not a thousand unread messages

Frequently asked questions

What if it files something incorrectly?+

We build in confidence thresholds: messages the system isn't sure about are routed to a person rather than guessed at. Misclassifications get reviewed and fed back in, so the system gets sharper the longer it runs.

Will it send email without us knowing?+

Only if you explicitly enable that for specific, well-defined message types. The default is drafts-for-review: a human approves everything until you're comfortable expanding the automation.

Does it work with Outlook and Gmail?+

Yes — we build on top of Microsoft 365 and Google Workspace, working with your existing mailboxes and permissions rather than asking you to move to a new tool.

What about confidentiality?+

Before anything goes live, we walk you through exactly what the system reads, where data flows and what is stored — and we design within your existing email platform and access policies.
